Canton Fair Meeting to Machine Proposal Guide | Welldone
After Booth 19.1I29: Turn a Fair Meeting into a Machine Proposal
GUANGZHOU — Buyers leaving Phase 1 of the 140th Canton Fair often return with a folder of quotations and no shared technical record. The next step is not comparing prices. It is turning one Booth 19.1I29 conversation into a comparable machine proposal.
Welldone Machine Co., Ltd. meets factory investors, procurement teams and engineers at the China Import & Export Fair Complex in Guangzhou from October 15 to 19, covering sanitary napkin, baby diaper, adult diaper and underpad machinery.
A price without a record is not a proposal
A buyer can leave the fair holding three totals and no way to tell what each one includes. The higher may carry a full reject system; the lower may omit the packing interface. Comparing totals alone selects the wrong machine.
In most cases, a conversation becomes a proposal only when the task is written down. The two sides must agree on the product, the SKU mix, the materials, the automation boundary and the acceptance conditions.
Four records to fix after the fair
- Meeting summary. A dated note naming the product, capacity target and open questions, so the discussion does not drift from memory.
- Sample and configuration boundary. One reference sample per SKU, the stations in and out of scope, and the materials to be trialled. This feeds the material trials and FAT protocol.
- Factory data sheet. Column grid, clear height, door width, power and air. The supplier needs these to fit a catalogue line into the building.
- Normalised comparison grid. The same rows for every supplier: qualified output, automation boundary, packing interface and acceptance criteria.
From a follow-up email to a technical proposal
The first follow-up should confirm the product definition and ask for a station-by-station scope with a dated configuration sheet. The buyer replies with the factory data sheet and the same grid sent to every shortlisted supplier. A total price cannot be negotiated; a defined scope can.
The real question is whether the buyer defines the task before negotiating. Those who do spend less time re-quoting and less money on scope that never belonged to them. Start with the Booth 19.1I29 meeting checklist.
